Corporate Time Users Guide

--------------------------------------------------------------------------------

Q: How do I log on to Corporate Time?
I'm a Student. OR I'm a non-student (faculty, staff).

Students:
1. Open Corporate Time (Start --> Programs --> Corporate Time)

2. Type your full first name and last name for the User Name (NOT your Bren login username!)

3. For your password, enter your Umail password. (NOT your Bren login password!) If you need to reset your umail password, go here, http://www.umail.ucsb.edu/ and click on the Identity link.

Faculty and Staff:
1. Open Corporate Time (Start --> Programs --> Corporate Time)

2. Type your full first name and last name for the User Name (NOT your Bren login username!)

3. For your password, enter the first 3 letters of your last name and the number of letters in your first name, and then repeated; e.g. John Smith = smi4smi4; (NOT your Bren login password!) It is highly recommended that you change this password. If you do so, you will be responsible for remembering this password, as it is not stored by the Bren School.

IMPORTANT: For the server name, use: iscsched.ucsb.edu. If you do not enter this information, you will be unable to connect to the on-campus CT network.

NOTE: If your last name (alone) is not recognized by the server when logging in, please send a note to request@bren.ucsb.edu with your 1) First M. Last name, 2) Bren e-mail address, and 3) group affilitation (i.e. co2002, faculty, staff, etc.). Turnaround time is about a week, and you'll be notified via e-mail.

--------------------------------------------------------------------------------

Q: How do I change my Corporate Time password?
Students can change their password at http://www.umail.ucsb.edu/

Faculty & Staff can change their password at http://directory.ucsb.edu

-------------------------------------------------------------------------------

Q: I cannot remember my Corporate Time password -How do I reset it?

Same as above.

-------------------------------------------------------------------------------

Q: How do I synchronize my offline password?

1. Select "File" from the pull-down menu in CorporateTime and choose "Work Off-line".

2. Select "Options" (or "Tools" in version 6.x), then "Change Password"

3. Change your off-line password to your new on-line password.

4. Select "File", then "Work On-line".

Even though you have changed your off-line password to match your on-line password,
CorporateTime may prompt you to synchronize your on-line and off-line passwords.
You should then select "Replace off-line password with on-line password". Now the
passwords are synchronized. If you cannot remember your old offline password, close
Corporate Time, go to H:\\Application Data and delete the Steltor folder. You will need
to proceed to the next FAQ below to set up the Corporate Time Server again.

--------------------------------------------------------------------------------

Q: How do I choose a server for my NEW Corporate Time 6.0?
Having loaded Corporate Time, the top box should be prefaced with "Connect to,
" followed by the name of the server that Corporate Time stores your agenda on.
This should be iscsched.ucsb.edu, but if it is blank or says "offline", you will need to
enter it with the following method.

Click the 'Other' button, which will bring up a new window.

In the new window, choose 'New.' This will bring up yet another window..

In the newest window, you will be presented with three white boxes. In the lowest box, enter iscsched.ucsb.edu, and hit the lookup button.

Once you have done this, you should name the server in the box following Connection name. Then click OK.

This will take you back to the screen where you can choose between servers. Highlight the connection that you just created, and choose 'Make Default,' and then click OK.

--------------------------------------------------------------------------------

Q: How do I Schedule a Meeting?
Having logged in to the Corporate Time server, two windows will be launched. Ignore the “In-Tray” for now. The other window is an hourly calendar, representing the current day. This is referred to as your “Agenda.”

If today is not the day that you want to schedule the meeting for, use the set of arrows located on the third toolbar. The double arrows left will take you one week backwards, the single arrow left will take you back one day, the single arrow right will take you forward one day, and the double arrow right will take you one week from today.

Once you have the day for the meeting chosen, select the time that you want the meeting to be. To do this, highlight the time (hold down the mouse button and drag to select more than one half-hour segment).

With the times selected, you can either double-click the highlighted area, or hit the ‘F2’ button, or right click the highlighted area, and choose “New Meeting,” or click the “Edit” menu, and choose “New,” then “Meeting.”

All three options will lead to the same interface (New Meeting, ‘General’ tab selected). In the bottom left field of the new window will be your name with a green checkmark next to it. This indicates that the person named to the right of the checkmark has agreed to attend the meeting.

To add someone to the meeting, click the ‘Add’ field, type in the name of the person, and hit enter. Their name will join yours in the bottom left field, with a question mark next to their name, indicating that this person has neither accepted nor rejected the meeting time. To add a resource, type in r:esms and a list of ESM resources will pop up. Select the one you want and click on OK.

You may add additional people to the meeting in the same manner. Once you have added everyone (and any resources) that you wish to attend the meeting, click the “Check conflicts” box. This will then have Corporate Time check the schedules of all the individuals you have asked to come to the meeting for possible conflicts with other meetings that they may have.

If there is a conflict, Corporate Time will open another window, telling you what times conflict. Click “Ok.” Next to the “Check conflicts” button is a button that says “Suggest date/time.” Clicking this will tell Corporate time to cross-reference you schedule with the schedules of those you have chosen to attend the meeting to find a time when you are all available for the meeting.

To make sure that you will attend the meeting, you can set Corporate Time to automatically notify you. The main interface to create a meeting is under the “General” tab. To create a “Reminder,” click on the “Reminder” tab. Choose to turn Reminder on, and choose how Corporate Time reminds you of the meeting.

When you have finished doing this, click the “Create” button.

--------------------------------------------------------------------------------

Q: How do I let people send me an email when they schedule a meeting?
1. Open Corporate Time.

2. Under the Options menu, choose Agenda.

3. Click on the Notifications tab.

4. Check the box that says "Allow others to notify you of new entries by email."

5. Click OK.

--------------------------------------------------------------------------------

Q: How do I create a group?
1. Select the Tools menu, then click Manage Groups. This will bring up a dialogue box.

2. Click New. Name the group, and be sure to change the Group Type to Members Only.

3. Once you have done this, you can begin adding people that you want in the group.

4. Click Okay, and then Okay again.

5. When it comes time to add this group to a meeting, rather than typing the name of the group into the Add People/Resources text box, you should click on the button to the right that has a picture of a group of people on it. From there you will be able to add whatever groups you want.

COOL NOTE: Anyone who is a member of this group can use it to schedule meetings!

--------------------------------------------------------------------------------

Q: How do I create a repeating meeting in my schedule?
After Creating the meeting, right click and edit the meeting, and then select the "Repeating" tab.

Select the frequency and which days the meeting will occur on. Under "Start and End Dates," choose how many weeks you want the meeting to be scheduled for.

Once you have the meeting times scheduled to your preferences, click the "List dates" button. You must do this, or the meeting will not be repeatedly scheduled. Then click the "OK" button.

--------------------------------------------------------------------------------

Q: How do I View Another Person's Agenda?
Open the “File” menu, choose “Open Agenda,” then choose “An Agenda.” The shortcut for this is Ctrl+a.

Type in the name of the individual whose agenda you want to view (First, Middle Initial, Last Name). The middle initial is used in the case of two people on campus having the same first and last names. If you type in the name without the initial, and there are two individuals on campus with the same name, you will be prompted to choose between them.

This will open and allow you to view the agenda of this person.

Alternately, if you have been named as a designate, this is the process for accessing the agenda.

1. Log on to the Corporate Time Server as yourself.

2. Under File, choose Open Agenda, then Open Agenda as Designate

3. The agendas for which you are a designate should appear, and you should be able to choose from among them.

-------------------------------------------------------------------------------

Q: When I log onto Corporate Time, it opens someone else's agenda - why?

This happens when you close out of another calendar after closing your calendar. Here's how to fix it.

1. Log into Corporate Time

2. Go to File -> Agenda -> Open and open your own agenda

3. Close the other agenda first, then close your agenda.

4. The next time you open Corporate Time, it should open your agenda.

-------------------------------------------------------------------------------

Q: How do I become a designate?
In order to modify another person’s Corporate Time account, they will have to add you as a designate to their account. To do so, they will have to follow these steps:

1. With Corporate Time open, go to the Tools menu and choose Access Rights.

2. Click on the Designate tab, which may be chosen by default.

3. In the white box, next to the green check mark, type in the full name of the person to be added as designate (e.g. Roger Emond).

4. Click on the green check mark.

5. By default, Corporate Time will assign the new designate the same privileges as anyone else. To change this, click in the box that says Full Designate Rights.

6. Then, click OK.

--------------------------------------------------------------------------------

Q: How do access Corporate Time from the Web?
Type in the address of the Corporate Time server (http://iscsched.ucsb.edu)

This will present you with a logon screen. Logon as you normally would (First, Middle Initial, Last)

--------------------------------------------------------------------------------

Q: How do I View Bren Resources?
Open the “File” menu, choose “Open Agenda,” then choose “An Agenda.” The shortcut for this is Ctrl+a.

Instead of typing in the name of an individual, in the name field, you will type in “R:ESMS”

This will present you with a pop-up box of resources to choose from. (e.g. choose “SCF Small ESMS.RM.BrenSCFSmall3022B” to see when classes are scheduled in the SCF)

If you know the Resource Number, or "nickname" for the resource, you may open this resource's agenda, or invite it to a meeting, by using just "r:/Resource Number", or "nickname" listed first. In this example it is "SCF Small," Just type "r:/SCF Small" without the quotes and it will come up.

If you don't see the "nickname" when listing all resources, do the following:

1. Go to the Options Menu, and choose General...

2. Click on the Names tab.

3. Check the box in front of Number, Name, for Resource Format.

--------------------------------------------------------------------------------

Q: I just got the following error: "Different Local Storage. The current off-line Agenda belongs to someone else. Please select another location for your off-line Agenda." What do I do?
Change the username that is not yours to your username.

For example, if the path in the box says:
"C:\Documents and Settings\WRONGusername\Application Data\CST"

Change the other username to YOUR username, resulting in:
"C:\Documents and Settings\YOURusername\Application Data\CST"

If this doesn't work, close Corporate Time, and delete the folder:

"C:\Documents and Settings\YOURusername\Application Data\CST"

Then log onto Corporate Time again.

--------------------------------------------------------------------------------

Q: How do I erase an event from my calendar?
Click on Options.

Choose Agenda

Click on tab: "display"

Uncheck: "Refused Meetings"

--------------------------------------------------------------------------------

Q: How do I archive my old calendars?

1. Open Corporate Time and log in.
2. Go to File and choose Export Data...
3. In the Export Utility dialog box, make sure that vCalendar file format is
selected.
4. Click Continue
5. Under the Export heading, check the boxes in front of Meetings, Day
Events, Daily Notes; If you wish to download your old Tasks, check this box
too.
6. Choose the range of dates you wish to archive. e.g. From: 01-01-2000 To:
12-31-2000.
NOTE: You may find it more logical to save by school year, i.e. From:
09-01-2000 To: 08-31-2001.
7. Under the File Name heading, click on Browse to go to the location (I
recommend a location on your H: drive,) where you wish you store your
archive.
8. Enter a meaningful filename, such as username2000.VCS or
ctusername00_01.VCS
9. Click on Save.
10. Click on OK.
11. If you see a message that says that All Data Was Transferred, click on
OK.
12. Archiving is complete.
